Audit the destination site. Comms room dimensions, power capacity and phase, dedicated circuits, cooling, cable trays, floor loading, and physical security. A rack that fits the space but exceeds the floor loading rating is a problem you want to find now.
Four Weeks Out: Connectivity and Contracts
Order internet and WAN connections at the new site. This is the single longest lead item in any Melbourne office relocation. Decide what goes, and dispose of it properly — every retired device with storage in it needs certified data destruction and a certificate to match, and e-waste needs a licensed recycler rather than a skip.
Confirm what’s staying, going, and being replaced. Marking this on the asset register avoids paying to transport equipment you’re about to bin.
Move Week: Disconnection and Packing
Shut down in the correct sequence. Applications, then databases, then virtual machines, then hosts, then storage, then network. Powering down a storage array under a live host is how filesystems get corrupted.
Remove drives from servers where the design allows it, and transport them separately. Hard drives and their carriers are the most shock-sensitive components in the rack. Label the bay each drive came from — RAID sets are not order-agnostic.
Never transport a populated rack as a unit unless it’s purpose-built for it. Standard racks are not designed to be moved loaded. Remove equipment, transport it individually crated, and move the empty rack separately.
Pack to anti-static standards. Anti-static bags for anything with exposed circuitry, then foam or bubble wrap, then a rigid carton. Never bubble wrap directly against a circuit board.

Bag and label peripherals per workstation. Keyboard, mouse, dock, power brick, and cables in one bag tagged with the user’s name and new desk number. This is the difference between staff being productive at 9am and a queue at the IT desk.
Cable management stays with its rack. Patch leads coiled, labelled, and boxed by rack, not thrown into a general cable box.

Your IT provider — whether that’s an internal team or a managed service provider — is responsible for reconnection, configuration, and testing. The removalist is responsible for safe disconnection at the physical level, protective packing, transport, and placement of equipment in the correct room.
This boundary needs to be explicit in both contracts before the move. The standard division that works well:
Removalist: unplugs and coils labelled cables, packs to anti-static standards, transports, places each item in its designated room or rack position, and unpacks.
IT provider: shuts down and brings up systems in the correct sequence, racks and cables equipment, configures the network, tests connectivity and applications, and signs off.
